How we use your information

This privacy notice tells you what to expect when the Lincolnshire Research Observatory (LRO) collects information. It applies to the information we collect about:

  • Visitors to our website
  • Information in relation to data protection or freedom of information enquires
  • People who use our service, e.g. who subscribe to our online updates or request information
  • People who notify under the Data Protection Act

Visitors to our website

When someone visits www.research-lincs.org.uk we collect standard internet log information and details of visit patterns. We do this to find out such things as the number of visitors to per day in a way that does not identify anyone. We do not make any attempt to find out the id of any visitors. We will not associate any data gathered from the site with any personally identifying information from any source. If we do want to collect personal information through our website, we will be up front about this. We will make it clear when we collect information and will explain what we intend to do with it.

Use of cookies by the LRO

Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site.

The table below explains the cookies we use and why.

Cookie Purpose More information
Session Cookies Session cookies are used (but not stored on the user's computer) by the server to provide continuity as the user navigates the web site. It expires as soon as the user stops using the web site.
LRO_User_Token This cookie is activated once the user logs into the LRO site with their username and password and remembers who they are. This is so that the site can serve them with the correct content and prevents the user form repeatedly entering their username and password over a short amount of time. It expires approximately 20 minutes after the user stops using the site.
LRO_High_Contrast This cookie is activated by using the high contrast version of the website and exists to keep the website in this mode as pages are navigated. It does not indentify the user and expires as soon as the user stops using the web site.
LRO_MappingTool_Size This cookie controls the zoom level of the map view and exists to retain your preferred level of zoom when viewing any map on the presentation tools. It does not identify the user and expires after one year

These cookies are created and used by Google Analytics to allow us to see how many people are visiting the site and their approximate location. These cookies are not created or controlled by the LRO. Further information

People who contact the LRO

When you call the Lincolnshire Research Observatory once the enquiry is dealt with the data is disposed of.

All other enquiries are dealt with and filed, in a secure location with restricted access. No personal information other than name and email address and possibly job details would be recorded, this will be stored if necessary for 10 financial years. Any content on the LRO website will be removed if superseded; this is in line with LCC Corporate Retention and Disposal Schedule for Communities.

People who make a complaint to us

When we receive a complaint from a person we will pass the information to Lincolnshire County Council Corporate Feedback Department. The complainants and any other individual involved details will be logged. We only use the personal information we collect to process the complaint and to check on the level of service we provide. We do compile and publish statistics showing information like the number of complaints we receive, but not in a form which identifies anyone.

We keep personal information contained in the complaints file in line with our retention policy ‘Retention periods for records are set either by statutory legislation or by agreement with each department / directorate’. It will be retained in a safe environment and access to it will be restricted according to the ‘need to know’ principle in line with Data Protection.

Similarly, where enquires are submitted to us we will only use the information supplied to us to deal with the enquiry and any subsequent issues and to check on the level of service we provide.

Please note by registering as a user on the Lincolnshire Research Observatory website we may occasionally contact you via email for consultation purposes. You can also subscribe to more regular updates of latest site news and additions of areas of interest during the registration process.

If you wish to de-register from the LRO at any time, please contact us at LRO@Lincolnshire.gov.uk providing your details and username.
